Travel Concepts, uses travel tools, such as https://vacationcrm.com or https://acuityscheduling.com, to which we provide information to or which provide information to us, who may have different policies or practices and we encourage you to read before providing information on or through them.
International Transfers
We may transfer, store, and process your information in, to, through or with countries other than your own.
Travel Concepts and our servers are located in the United States. If you are engaging with us from outside the United States, please be aware that your information will be transferred to, stored, and processed by us in our facilities located in the United States and by those third parties with whom we may share your personal information, which third parties may be located in the United States or in other countries. The level of protection for your information in the United States or such other countries may not be the same as the level of protection in your country.

You control the personally identifiable information about you, such as your name, address, phone and email address (“Personal Information”), that you share with us. Keep in mind that third parties to whom Travel Concepts, has transmitted your data with your consent may still retain copies of your Personal Information even after you have deleted your account with Travel Concepts.

The following are the different ways we may use and disclose your Personal Information without first having to obtain your written authorization.
Browsing
When you browse our website, we do not collect Personal Information, unless you voluntarily provide it to us. This means that we will not know your Personal Information just because you browse our website, unless you have created an account or access the site from a link in an email that we sent to you.
When we need to collect Personal Information from you to provide you with a particular service, we will ask you to voluntarily supply us with the information we need, as explained below.

Information Collected to Process a Transaction
To conduct a transaction the Travel Concepts, website, visitors must complete a booking form that collects passenger information, contact information, trip information, payment information, and additional information that you provide voluntarily. Personal Information collected may include your name, address, telephone and fax numbers, email address, and credit card number or other payment information.
Information Payment Method
Payment information is collected through vacationcrm.com and held on their server, it is not collected or held on Travel Concepts, website or server. By submitting, you certify that you are the cardholder and are authorizing the Travel Concepts, or its chosen Tour Operator/Supplier/Cruise Line to charge the listed amount to the credit card. You certify that you have verified that all information contained in the confirmation you received is accurate. You also certify you have read the Terms & Conditions and the appropriate Travel Protection Plan details. Cancellation penalties may apply. Insurance is not refundable.
This charge will be manually applied by the agency to your reservation. If there are any issues, an agent will get back to you. Please note that you may not see a charge from Travel Concepts, on your credit card statement; the charge will come from our supplier and/or the airline directly. Payment may take 3-5 business days to fully process and be reflected on your statement.
Emails/Newsletters
It is our intention to only send you email communications that you want to receive. When you provide us with your email address by creating a booking, we will periodically contact you via email about Travel Concepts, programs and services. Every time you receive an email, you will be provided a choice to opt-out of future emails by following the instructions provided in the email. You may also opt-out by emailing [email protected] or calling 913-888-1671.
Please allow 10 business days for us to process your opt-out and provide your email if you call our phone and leave a message. Please note that Travel Concepts, will never send you an email requesting your credit card number, social security number or other similar personal or private identification information. If you receive an email that looks like it is from Travel Concepts, but asks you for Personal Information, it is a fraudulent email, and you should not reply or provide such information.
Opting Out of Email/Newsletter Marketing
Should you wish to no longer receive communications from us, you have the option of unsubscribing by clicking “unsubscribe” in the bottom of the email we send to you or by contacting us using the details under “How to Contact Us” below. Upon receipt of your request, you will be removed from the marketing email list, however, we will still need to send you all service-related emails that are necessary for the administration of any booking(s) you have with us. Please be aware that whenever you voluntarily post information or materials to public areas on our website or any other public forums, such information and materials can be accessed by the public. If you submit information, comments or materials to the website or on our social media pages or apps, you agree that we may freely use them, along with your name and location.

We retain the Personal Information and materials we may collect, and you provide us for no longer than is reasonably necessary for us to achieve the purposes for which you have provided it to us, or to the extent reasonably necessary for us to protect our rights, or as may be required to fulfill our legal obligations.

Travel Concepts, uses the services of third parties, such as interactive marketing agencies, market researchers and email service providers, to assist us with marketing and promoting our website. These parties are contractually prohibited from using personally identifiable information for any purpose other than for the purpose Travel Concepts, specifies. We do provide non-personally identifiable information to certain service providers for their use on an aggregated basis for the purpose of performing their contractual obligations to us. We do not permit the sale of Personal Information. We may disclose Personal Information in certain situations, where required by law.

Booking Registrations
By booking for a travel event, Travel Concepts, may use your Personal Information to: (a) enable your event registration; (b) market Travel Concepts, opportunities in which you may be interested; (c) share your Personal Information with third parties that perform services on behalf of Travel Concepts, in connection with the event, including, but not limited to, database management, event housing and transportation; and (d) share your Personal Information with third parties who sponsor the event for their marketing purposes. To opt out of receiving email communications from any such companies, you may unsubscribe from their email marketing lists using the information provided in such email communications. Cookies and Pixel Tags
Our website uses “cookie” technology. “Cookies” are encrypted strings of text that a website stores on a user’s computer. Our website requires the use of a “Session” Cookie when accessing the online traveler community. “Session” Cookies are temporary and are automatically deleted once you close your Internet browser. We do not use Cookies to ascertain any personally identifiable information about you apart from what you voluntarily provide us. Pixel tags are not visible to the user of the website and consist of a few lines of computer code. Pixel tags are not used to collect any personally identifiable information about you. Our website uses pixel tags to track the aggregate number of page views made on our website by all website visitors. We also use social media pixels in compliance with the policies of the various social media websites, such as Facebook, Twitter and LinkedIn, to track cookies. These pixels allow social media to track visitors to outside websites in order to tailor the advertising messages that users see while visiting that social media website. Pixel tags also allow us to know how many users open an email and allow our service provider to compile aggregated statistics about an email campaign for us.

Right to Withdraw Consent
Where the processing of your personal information is based on your consent, you have the right to withdraw such consent at any time, without affecting the lawfulness of processing based on consent before such withdrawal.

You have the right to receive your personal information, which you have provided to Travel Concepts, in a structured, commonly used and machine-readable format, and have the right to transmit such data to another entity without hindrance from Travel Concepts, where each of the following conditions are met:

- Your request does not adversely affect Travel Concepts’ rights (including intellectual property rights);

You have the right not to be subject to a decision based solely on automated processing (including profiling) which produces legal effects concerning you or similarly significantly affects you, unless permitted under applicable law.
Right to Submit a Complaint to Supervisory Authorities
You have the right to lodge a complaint with an applicable data protection authority. If you reside in Europe, you have the right to lodge such a complaint in the European country of your habitual residence, place of work, or place of an alleged infringement if you consider that the processing of your personal information infringes applicable European Privacy Regulations.
